Studio Policies

The following Terms and Conditions apply to all membership agreements made between Thrive Creative Arts (“TCA”) and its students and the parents/guardians of its students (“Members”). By participating in TCA lessons and programs, the Member agrees to abide by these terms and conditions.

COMMUNICATION 

  1. All correspondence is sent out to Members by email, push notifications and text message. If you find that you are not receiving emails from TCA, please let us know.

  2. It is the Member’s responsibility to notify TCA of any changes to their contact details. TCA is not liable for any missed communications, late/overdue payments, missed lessons, etc. if this is due to incorrect contact information. 

MEMBERSHIP TUITION AND PAYMENT

  1. Membership tuition is automatically charged on the 25th of each month. Students who start lessons after the first week of the month will pay a prorated amount for their first month of membership. Your monthly tuition serves as a means to reserve your weekly lesson time.

  2. Monthly tuition includes 34 weekly lessons from September through May divided into nine (9) equal monthly installments. TCA will be closed for holidays as noted on the calendar, and all planned closures are figured into the monthly rate regardless of the number of lessons in a given month.

  3. A non-refundable membership fee of $50 per family is due upon enrollment, with an annual membership fee of $50 per family charged each year upon re-enrollment.

  4. A Member who is paying full-price membership is entitled to a 5% discount for any additional family members.

DURATION OF THE MEMBERSHIP AGREEMENT 

The membership agreement between TCA and the Member is a rolling agreement that continues monthly unless membership is canceled by the Member.

GROUP MUSIC & ART CLASSES

  1. Group Instrument Classes, MiniKeys, Jam Band 101, and Art Classes: 

    1. If the Member needs to miss a lesson, they should cancel that lesson in their  iClassPro portal. A makeup token will be issued for cancellations made at least 48 hours in advance. 

  2. Rock & Write Band Classes: 

    1. Due to the nature of this band, no makeup lessons or tokens will be provided for a Member’s absence from a Rock & Write Band class. 

  3. Inclement Weather/Unavoidable Cancellations:

    1. If TCA cancels a class due to circumstances beyond its control, makeup tokens will be issued to Group Instrument, MiniKeys, Jam Band 101, and Art students.

PRIVATE LESSONS

  1. Absences: 

    1. If the Member needs to miss a lesson, they should cancel that lesson in their iClassPro portal. A makeup token will be issued for cancellations made at least 48 hours in advance.

    2. In the event that a cancellation is made within 48 hours of a scheduled lesson, the teacher will provide a customized Home Study Lesson for the Member to work on at their convenience.

    3. The Member may choose to receive a Home Study Lesson in place of a makeup token at any time by notifying the front desk.

    4. In the event a teacher is unavailable to teach a private lesson, a suitable substitute will be arranged. If a suitable substitute cannot be arranged, a makeup token will be issued.

  2. Inclement Weather/Unavoidable Cancellations: 

    1. If TCA cancels lessons due to circumstances beyond its control, makeup tokens will be issued to private students.  

MAKEUP TOKENS

  1. Scheduling of makeup lessons is the responsibility of the Member. The Member acknowledges that makeup availability is dependent on teacher availability or class space and that a specific time or teacher is not guaranteed.

  2. Makeup tokens can be used no more than fourteen (14) days and no less than one (1) day in advance.

  3. Makeup tokens expire after 90 days.

  4. In the event that a booked makeup lesson is canceled, the makeup token will be forfeited.

  5. No credits will be issued for classes missed during gig weeks.

  6. Tokens are not transferable to cash and cannot be used toward monthly tuition. All tokens expire upon withdrawing from TCA.

  7. For TCA programs held offsite, makeup days will be coordinated and scheduled with the school. Individual makeup sessions or refunds are not available for missed sessions due to personal reasons (vacation, illness, etc).

TEACHER ASSIGNMENTS AND AVAILABILITY

  1. Membership agreements are with Thrive Creative Arts (TCA), not with individual instructors. While we value the relationships students build with their teachers, staff changes may occur. If a teacher moves on from TCA, we will support a smooth transition and match the student with another instructor who aligns with their goals and learning style.

  2. Our teachers are working professionals with changing personal circumstances.Their availability may shift from time to time. If your current teacher is no longer available during your scheduled time, we will do our best to maintain your time slot with another teacher or offer options to continue with your teacher at a different time.

DROP-OFF AND PICK-UP

  1. Parents/guardians are permitted to drop off students for lessons but are required to return for pick-up before the end of the lesson. TCA cannot guarantee that a staff member will be available to monitor students who are left unattended in the lobby, and students under the age of eleven (11) are not permitted to wait without a parent/guardian. Frequent early drop-offs or late pick-ups may result in additional childcare fees or removal from lessons.

  2. For safety, please pick up children ages six (6) and under inside the building at the end of their class.

MEMBERSHIP CANCELLATION

  1. In an effort to give our teachers a consistent schedule, we require notification by the 5th of the month if the Member wishes to change or cancel their membership with TCA that same month. Please login to your iClassPro account to drop your student’s enrollment. TCA will automatically be notified of your cancellation request. Your membership will terminate at the end of the month if notification is received by the end of the day on the 5th. If notification is received after the 5th of the month, your membership will terminate at the end of the following month. There will be no prorated charge. 

  2. Verbal notice given to the teacher or staff will not be acted upon and is not considered sufficient.

  3. No refund or credit will be given for any cancellations before the end of a fixed length program (such as Music Launchpad, workshops, or camps). 

  4. If TCA has to cancel a membership agreement, it will endeavor to give 30 days notice to the Member. Any lessons remaining after the lesson’s end date will be credited to the family’s account if payment has already been made. 

  5. If, in exceptional circumstances, TCA has to cancel the student's lesson due to damage of TCA property or harassment, disruptive, disrespectful, or unsafe behavior of TCA staff by the student, this may be done with no notice and no credit or refund for any outstanding lessons. 

  6. In the event of withdrawal, the full and final outstanding balance will become immediately due. TCA reserves the right to charge the payment card on file for the remaining amount due.

SUMMER CAMPS

  1. Cancellations

    1. All cancellations must be made in writing and will take effect from the date we receive such notice.

    2. Cancellation received at least 30 days prior to your 1st day of camp = full refund, minus $100 non-refundable deposit.

    3. Cancellation received within 30 days prior to your 1st day of camp camp = no refund

    4. No refunds or reimbursements will be offered for missed days of camp.

    5. Thrive reserves the right to cancel the camp at any time before the advertised starting date. In the event of such cancellation, all deposits will be refunded in full.

  2. Camp Rules and Regulations

    1. We expect and hope that all young people attending Thrive sessions will make every effort to show respect at all times to fellow students and members of the staff. The camp rules outlined below are designed to ensure that all students and staff are able to safely enjoy their camp experience free from any unpleasant, intimidating, or aggressive behavior. However, any student who consistently breaks the course rules, breaks the law or displays aggressive or intimidating behavior will face instant dismissal from the camp and will return home at their own expense.

    2. Any damage caused by a student to property, equipment, or accommodation will be charged to the student.

    3. Gratuitous or willful damage to Thrive property, public property, or other students’ property may result in dismissal from the camp.

    4. Smoking, consumption or possession of alcohol, or consumption or possession of drugs will result in immediate dismissal from the camp.

    5. Intimidating behavior towards another student or member of staff will result in immediate dismissal from the camp.

  3. Drop-off and Pick-Up

    1. Drop-off begins 10 minutes before the start of the camp day, unless you have opted for Early Arrival. If you are taking part in Early Arrival care, drop-off begins at 8:15, and no earlier.

    2. Thrive requires parents to collect students promptly at the end of a scheduled class or camp day.  You may opt-in to Early Arrival for an additional charge. We understand occasional lateness does occur but request immediate communication if you find you may be late. Parents who arrive late for collection agree to pay a $25 fee for every 15 minutes of time over an initial 10 minute grace period, at the discretion of Thrive.

PENALTIES

  1. If the membership charge is not successful after ten (10) days, a $15 late payment fee will be applied. If the charge is not successful by the 15th of the month, the membership will be canceled. 

  2. A $30 fee will be applied for any returned check or declined bank draft due to insufficient funds.

REFUND POLICY

  1. A full refund is available within 30 days of initial enrollment for MiniKeys, Jam Band 101, and Art Classes. If you are not satisfied, just let us know and we will process a full refund.

  2. No refunds are issued after 30 days. Refunds do not apply to private lessons, fixed-length programs (like Creative Music Launchpad), workshops, camps, or prepaid annual memberships.

CHANGES TO STUDIO POLICIES AND PRICING

  1. The Studio Policies described above are agreed to upon enrollment and may be changed at any time by TCA without providing notice to the Member. A copy of the Studio Policies will always be available on our website, in the member’s iClassPro portal, and may be emailed to the Member on request. 

  2. TCA reserves the right to increase monthly tuition. Should TCA change the monthly fee, it shall provide a 30-day notice via email to all Members regarding such changes.
